Alternative Ways to Comply With the Requirements of Internal Audits

Effective implementation and verification of safety management system (ISM) requires periodical internal audits. What happens when we are unable to visit the vessels or when the risk is too high? Such is often the case now with the COVID-19.

The ISM Code paragraph 12.1 states: “The Company should carry out internal safety audits onboard and ashore at intervals not exceeding 12 months to verify whether safety and pollution-prevention activities comply with the safety Management System (SMS)”. Section 12.4 of the code also states that “Personnel carrying out audits should be independent of the areas being audited unless this is impracticable due to the size and nature of the company”.

Part A of the ISPS Code, sections 9.4.8 «procedures for auditing the security activities» and 9.4.1 lay down requirements for carrying out internal audits, which may be difficult to conduct during the corona pandemic (Covid-19).

In an increasingly digitized world, remote audits are growing as a means to help companies manage and audit their operations, procedures and systems. We will prepare and perform remote audits by directly communicating with your office and vessel. The audit will be a combination of review of documents (forms / logs / checklists / printouts), interviews through video calls and where necessary online demonstration.

The objective of remote audits is to achieve the same results as obtained with regular audits

The audit process to be followed shall be documented in advance and will also meet any specific requirements of your Flag and/or the Recognized Organization (RO) for remote audits.
